Currently, we are looking for an Office Administrator to support our Berlin office.

 

Your tasks will include:

  • Manage relationships with vendors, service providers, and landlords, ensuring all invoices are processed and paid on time
  • Oversee contract and pricing negotiations with office vendors, service providers, and lease agreements
  • Provide general support to employees relocating to the Berlin office
  • Assist the HR department in coordinating with candidates, following the provided instructions
  • Maintain office efficiency by planning and executing equipment procurement, workspace layouts, and office systems
  • Develop and implement office policies by establishing procedures and standards to guide daily operations
  • Conduct reviews and analyses of special projects, keeping management informed of progress and findings
  • Prepare the annual budget, manage expenditures, analyse variances, and implement necessary adjustments to ensure office financial goals are met.
  • Actively participate in planning and executing company events
  • Address employee inquiries and complaints in a timely and professional manner
  • Coordinate with the IT department regarding all office equipment needs and issues
  • Manage mailing, shipping, supplies, equipment, billing, and general errands
  • Organise safety training sessions for employees
  • Monitor and manage the office access control system

What we expect from you:

  • Bachelor's Degree, ideally in HR or an economic field
  • Min. 1 year of experience in administration
  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint)
  • Fluency in German and good command of oral and written English (B2) are a must
  • Excellent interpersonal and verbal/written communication skills
  • Ability to operate under solid pressure and meet tight deadlines
  • Proactive, independent and systematic approach
  • Good organisational skills required, ability to solve problems and keep an eye on details and accuracy
